For our next bachelor exam session, we had decided to replace the manual
student identification process with an automated AI solution to save time
and improve efficiency.
Following a suggestion from Riccardo, I've been testing an *AI-driven
automatic identification tool*. I ran a few trials and the process is the
following:
1.
*Student Side:* At the beginning of the session, the instructor sends a
link (via Webex chat or email). The student scans a QR code with their
phone, uploads their ID, and completes a facial recognition check.
2.
*Instructor Side:* I have created an EPICODE organization dashboard. As
students complete the process, their data and verification status appear
there automatically. This is what the instructors will see:

Our current manual process, where examiners invite each student into a
separate breakout room to check their ID, often takes up to *an hour *before
the exam. With this new system, everyone authenticates simultaneously and
the instructor simply needs to monitor and confirm that all attendees are
verified. This will save us 45-60 minutes per each exam.
We have 500 free authentications per month, which reset at the start of
each month. Beyond this limit, the cost is only 15 cents each, so the final
expense will be minimal.
I have already prepared a draft email for the students *(see below)*. I
simulated the process, took screenshots, and used Gemini to create a single
image showing the workflow. 😁

Dear Students,

required to complete the identification process.
2.
*Document Selection:* Once you open the link on your phone, you will be
asked to select your *nationality* and the *type of ID* you are using
(e.g., Identity Card, Passport).
3.
*Document Photos:* The system will prompt you to enable your camera. You
will need to take a clear photo of the *front* of your ID, followed by a
photo of the *back*.
4.
*Facial Recognition:* After submitting the ID photos, the front-facing
camera will be activated. You will need to take a "selfie" for the AI
facial recognition check.
5.
*Completion:* Once the process is finished, a confirmation message will
appear stating that your identification was successful. At this point, you
may put your phone away and return to your exam screen.

Your instructors will automatically receive a list of students who have
completed the authentication, including confirmation of your name and
document validity.
*The exam will officially begin once the instructors have given the final
"OK" after verifying the digital authentication results.*

Marina,
I tried the link creating consciously difficulties to verify whether the platform is robust and after many tentatives it says that the submission is under review (probably after more and more tries the system jump directly to the finish).
Please have a look at the Didit dashboard to verify whether this review should be conducted by you (I think so)…let me know...
In any case it is a very simple process and so I would sent a shorter email to students, just saying that the exams identity process will speed up thanks to an AI Facial Recognition System and so before the exam they will receive a link to do identification by their own and they need just a valid document with them.

Two errors:
- "Document sides msimatch: The sides of the document don't match the
expected format or contain invalid data, indicating a potential identity
mismatch."
- "MRZ not detected: The system couldn't find or read the Machine
Readable Zone (MRZ) on the document, which is essential for document

In other words something like: "dear student, if the identification won’t work for any reason, don’t be scared it will be under review by me and if necessary we will proceed with manual identification as done in the past."
